TERMS AND CONDITIONS
This document constitutes a legally binding agreement. By accessing this website or using any of the services provided herein, you accept and agree to be bound by all the terms and conditions of this agreement. Please read the entire agreement carefully before accepting its terms.

1. M.P. XPERIENCE TRAVEL LTD (XPERIENCE)

We are a licensed travel agency, a member of the Cyprus Tourism Organisation (CTO). We hold a valid license from the CTO to organize excursions, with all required guarantees that legally allow us to organize and offer travel programs abroad.

2. YOUR BOOKING
​
Your booking contract is made with XPERIENCE, which undertakes to provide you with the various services that form part of your package. A booking is considered valid only when the required deposit has been paid and the official service receipt has been issued.

3. PAYMENT / BALANCE OF YOUR TRIP
​
Your booking is confirmed with a 30% deposit of the total cost. The remaining balance must be paid no later than 30 days before departure. If you fail to pay the balance 10 days before departure, XPERIENCE reserves the right to cancel your booking. If you register for a trip less than 30 days before departure, the full amount must be paid at the time of booking.

4. CHANGES TO THE TRIP BEFORE DEPARTURE
​
We make every effort to offer all services as scheduled at the time of booking. However, as we rely on multiple independent suppliers (such as airlines, hotels, cruise companies, etc.), certain changes may occur that are beyond our control.
Minor changes may be necessary from time to time. If a Major Change occurs (such as a change in departure date/time by more than 24 hours, or downgrade in accommodation category), we will notify you before departure whenever possible. In this case, you will have three options:

Accept the change

Choose another XPERIENCE trip (paying any price difference if higher)

Cancel the trip and receive a full refund of all payments made.
XPERIENCE bears no responsibility for any incidents beyond its control after the trip begins, such as flight cancellations, delays, war, terrorism, social unrest, natural disasters, strikes, epidemics, or embargoes.
Responsibility in transport and accommodation matters is limited to the applicable International Conditions of Carriage.

5. IF WE CANCEL YOUR TRIP
​
We reserve the right to cancel your trip for any important reason. We will not cancel your trip less than 7 days before departure, except for reasons beyond our control (as stated in section 4). In such cases, you may:

Join another XPERIENCE trip (paying any price difference if applicable), or
-
Receive a full refund of all amounts paid.
6. CANCELLATION BY THE TRAVELER

If you or any member of your group wishes to cancel, notice must be given in writing. The cancellation is effective from the date we receive your written notice. The following cancellation charges apply per person:

Up to 60 days before departure: 10% of total trip cost

59–30 days before departure: 30% of total trip cost

29–21 days before departure: 50% of total trip cost

20 days or less before departure: 100% of trip cost
-
No-show: 100% of trip cost
7. TRANSFERRING YOUR BOOKING

If you are unable to travel, you may transfer your booking to another person, provided all involved suppliers (airlines, hotels, etc.) approve the change. An administrative fee of €60 applies, in addition to any supplier charges.

8. PRICES
​
All prices are quoted in the specified currency and may change due to exchange rate fluctuations, VAT increases, or other taxes/fees. Any such change will automatically affect published prices. The valid price for each service is that shown on XPERIENCE’s website (www.xperience.com.cy) at the time of booking.

9. COMPANY LIABILITY
​
XPERIENCE acts as an intermediary, using airlines, hotels, local travel agents and other service providers beyond its direct control. Our responsibility is limited to cases of negligence on our part.
We are not liable for:

Changes, delays, or cancellations of scheduled transport services and their indirect effects.

Accidents, illnesses, or health effects from climate conditions, altitude, jet lag, epidemics, or food-related issues.
-
Difficulties caused by unforeseen events (bad weather, strikes, riots, wars, hijackings, fires, earthquakes, floods, force majeure).
-
Damage, loss, or theft of luggage, personal items, money, or documents.
We will make every effort to assist travelers, but any extraordinary expenses must be covered by the travelers themselves.

10. TRAVELER RESPONSIBILITIES
​
Each traveler is responsible for safeguarding their passport, money, and travel documents. Hotels are not responsible for valuables left in rooms.
Participants in group tours must follow the program and be punctual. Failure to do so may result in missing excursions or services, for which XPERIENCE bears no responsibility or obligation for compensation.
Travelers are solely responsible for securing valid travel documents (passports, visas, vaccination certificates, etc.) and for compliance with customs and currency regulations.

11. PASSPORTS AND VISAS
​
It is your responsibility to have all necessary documents (passport, visas, military certificates, etc.). Passports must be valid for at least 6 months after return. ID cards are accepted only for EU countries and only for Cypriot citizens. Holders of foreign passports must verify entry requirements according to nationality. XPERIENCE bears no responsibility if entry to a country is denied due to missing or invalid documents.

12. TRAVEL DOCUMENTS
​
Before departure, you will receive your detailed itinerary, flights and hotel information. In late bookings, documents may be delivered at the airport. Please check the meeting point and time carefully.
13. HEALTH
​
Travelers with health conditions must consult their doctor before traveling and inform us in writing at the time of booking of any disabilities or medical needs. Pregnant women within three months of expected delivery are not permitted to travel. Those 24–27 weeks pregnant must provide a medical certificate 30 days before departure. XPERIENCE reserves the right to refuse carriage if a traveler is deemed unfit to travel.
14. SPECIAL REQUESTS

Special requests (dietary needs, room location, etc.) must be submitted in writing at booking. While every effort will be made, XPERIENCE cannot guarantee fulfillment.
15. PERSONS WITH SPECIAL NEEDS
​
XPERIENCE will provide information to travelers with disabilities where possible, but many destinations may lack accessible facilities. Please inform us in writing of any special requirements.
16. COMPLAINTS
​
If you have a complaint during your trip, please notify your tour leader or hotel immediately to allow them to resolve it. Complaints submitted only after return will not be accepted unless reported during the trip. Unresolved issues must be submitted in writing within 7 days of return.
17. HOTELS
​
XPERIENCE selects hotels based on quality and location. The official rating is that of the local tourism authority.
In case of unavailability, a hotel of equal or higher category will be offered; if only a lower category is available, the price difference will be refunded.

18. ROOMS
​
Unless otherwise stated, all rooms are standard rooms. Check-in is generally after 15:00 and check-out between 10:00–12:00. Late check-out may be available upon request and payment. Most twin rooms have two single beds. Specific requests should be made at booking but cannot be guaranteed.
19. MEALS
​
Meals included are as stated in each program. Refunds are not provided for unused meals. Special meal requests (e.g., vegetarian) will be attempted but not guaranteed.
20. FLIGHTS
​
Flights may not be direct and may require connections. Seating together cannot always be guaranteed.
Airlines reserve the right to change aircraft or schedules without prior notice.
21. COACH TRANSPORTATION
​
Bus seating may rotate daily. Smoking is not permitted on board.
22. LUGGAGE
​
Luggage allowances vary depending on the airline and travel package. The specific baggage allowance applicable to each trip is detailed in the individual package itinerary, travel schedule, or “What’s Included” section provided to the traveller prior to departure.

Any excess baggage fees or charges for additional luggage beyond the included allowance are the responsibility of the passenger and must be paid directly to the airline or service provider.
​
XPERIENCE is not responsible for loss, delay, or damage to luggage during transport. We strongly recommend that all travellers obtain appropriate travel insurance to cover personal belongings and unforeseen circumstances.

23. AIRPORT TAXES
​
Airport taxes and fuel surcharges are included in the prices.
24. AIRLINE & CRUISE TICKETS
​
Airline and cruise tickets are subject to the specific terms and conditions of each carrier and the International Conventions governing carriage.
25. OPTIONAL EXCURSIONS
​
Optional excursions offered during your trip are not included in the package and are paid locally.
XPERIENCE bears no responsibility for such excursions, even if accompanied by our tour leader.
26. APPLICABLE LAW AND JURISDICTION
​
These Terms and Conditions are governed by the laws of the Republic of Cyprus, and any disputes are subject to the exclusive jurisdiction of the Cypriot courts.
27. MODIFICATION OF TERMS
​
XPERIENCE reserves the right to modify these Terms and Conditions at any time. No amendments are valid unless agreed in writing with XPERIENCE.
28. ADDITIONAL INFORMATION
​
Group travel requires cooperation and mutual respect among participants to ensure smooth operation.
Despite careful planning, some details (e.g. museum hours, bank holidays) may change. Tour leaders will inform participants during the trip.
29. ACCEPTANCE OF TERMS OF PARTICIPATION
​
Participation in any travel package implies full and unconditional acceptance of these Terms and Conditions.
